Volunteer Role Descriptions
INDIVIDUAL MEET JOBS
MEET SET UP or TAKE DOWN (home meets) – Sets up or takes down the team tent, lane ropes, starting blocks, false start rope, backstroke flags, starter’s area, and heating area. Moves pool furniture out of the way and then returns them to normal places afterward. Set-up is the evening prior to the meet and clean-up is after the meet.
HEATING/HEATING RUNNER (home meets) – Assigns swimmers to the correct heats and lanes in the heating area several events prior to the start of their race. Directs swimmers to the starting blocks just before their event begins.
CONCESSIONS WORKER (home meets) – Concessions are an important fundraiser for the team! Successful concessions generate important revenue for the team. Volunteers will work the concession stand during the meet and then help clean it up at the end.
TIMER (home and away meets) – Assigned to one lane of the pool to time swimmers and record results on entry sheets for each race. Stopwatches will be provided by the lead timer and instruction from the Meet Director will be given at the beginning of each shift.
BACK UP TIMER (home and away meets) - Not assigned to a lane but available with running stopwatches in case a lane timer has an issue with their stopwatch and needs a replacement.
RUNNER (home meets) – Responsible for picking up the completed timing sheets from the timers after each event and taking them to the computer entry staff. Assist Meet Director, Starter/Referee, and other meet officials as needed.
RIBBONS ORGANIZER (home and away meets) – Place stickers with the swimmer’s name and time on the back of the ribbons from printed data. Assist in distribution of ribbons and other awards to the teams.
ANNOUNCER (home meets) – Uses the intercom system to announce the events that are being organized in the heating area and manages First Call/Last Call board.
Shifts that require special training:
COMPUTER COORDINATOR – Must have successfully completed League computer clinic. Before the Meet--Responsible for working with the coaching staff to set up all meets in Hy-Tek software (Meet Manager) used by the South Jeffco Swim League. Receives entry sheets from coaching staff, enters data into the computer to create the meet schedule/record, verifies entries are in accordance with League rules for open/closed events and total number of events per swimmer. During a Home Meet-- Enters data from entry sheets into the computer to record race results and scoring. Verifies accurate final meet results. Assists coaching staff in maintaining swimmers’ records (Team Manager), and periodically printing progress reports for swimmers.
STARTER (home meets) – Starts each race. Prior experience and/or special training is required. Needs to be familiar with South Jeffco League rules and regulations and be certified as a Stroke and Turn Judge. Instructs judges at the beginning of the meet. Investigates disputes between opposing teams and assists the meet director in conducting the meet.
COMPUTER ASSISTANT (home meets) – Assists the computer coordinator with inputting data, double-checking entries, posting results, and other miscellaneous duties.
STROKE & TURN JUDGE (home and away meets) – Assigned to a specific area of the pool to watch swimmers for correct starts, strokes, and finishes. Responsible for notifying the disqualified swimmer and/or coach and explaining the reason for the disqualification. Notifies the Starter/Referee of all disqualifications. Must have successfully completed the League certification classes for Stroke and Turn Judges and be very familiar with the proper execution of all strokes and turns and League rules and regulations.
